The custom software development process is the series of stages that takes an idea from a rough problem statement to a working system your team uses every day. Knowing the steps helps you set a realistic budget, spot a weak proposal, and know where your own input is needed.
The 7 steps
1. Discovery (1-2 weeks)
We learn how your business works today: who uses the system, what goes wrong, and which problem is worth solving first. Output: a clear problem statement and list of users and workflows. Your role: share real examples, files and pain points.
2. Scope and estimate (about 1 week)
The work is split into phases, with a must-have first version separated from later ideas. Output: a written scope, timeline and fixed or phased price. Beware of any vendor who quotes without asking questions.
3. Design and architecture (1-3 weeks)
Screens are sketched, the database is planned, and the technical structure is chosen. Read more in our guide to custom software architecture. Output: wireframes, data design and an approved plan.
4. Development (4-12 weeks for a first version)
The software is built in short cycles, with a working demo at the end of each. This lets you correct direction early instead of discovering problems at the end. Your role: review demos promptly and answer questions quickly.
5. Testing
Features, security, speed and edge cases are tested with real-style data, followed by user acceptance testing by your team.
6. Launch and training
The system goes live, old data is migrated, and your staff are trained. A good launch has a rollback plan and close monitoring in the first days.
7. Support and improvement
Software needs hosting, updates, security patches and new features. Budget for ongoing support; our software maintenance service covers this.
Typical timelines
- Simple internal tool: 4-8 weeks
- Business application such as a CRM or booking system: 2-4 months
- Large platform with several user roles and apps: 4-8 months, delivered in phases
These are indicative. The biggest cause of delay is unclear requirements and slow feedback, not coding.
What you should do to keep the project on track
- Name one decision-maker with authority and time.
- Collect real documents, forms and sample data early.
- Review each demo within a few days.
- Freeze the scope for each phase and put new ideas in the next one.
Warning signs in a vendor proposal
- No discovery phase and a quote after one call
- No demos until the end
- Unclear ownership of source code
- No testing or support plan

FAQ
How long does custom software development take?
A focused first version usually takes 6-12 weeks. Larger systems are delivered in phases over several months.
What is the most important step?
Discovery and scoping. Mistakes here are the most expensive to fix later.
Do I need to be technical?
No. You need to know your business process and give timely feedback. A good team explains everything in plain language.
What methodology do you use?
Short iterative cycles with demos, so you see working software regularly.
